How do I manually block off time on my calendar?

Learn how to manually block time off your calendar inside of your usual availability. This is great when you have one-off appointments that you don't want booked by clients.

Manually block off time on your calendar

This will be incredibly helpful to you when you have one-off appointments that you want blocked off, or if your availability changes quite often or from week to week.

How to Manually Block Time Off Your Calendar

There are two main ways to block off time:

  1. Using your calendar app (Calendly):

    • Change your calendar view to weekly.

    • Click and drag on the time slot you want to block off (e.g., Tuesday, December 13th from 12:30 PM to 1:00 PM).

    • A pop-up window will appear. Choose "Block time off" instead of "Book an appointment."

    • If you want, enter a reason for blocking the time (e.g., "Dentist appointment").

    • Click "Save event."

    • The blocked time will appear on your calendar and will not be available for booking.

  2. Using your external calendar (Google Calendar):

    • Block off the time directly in your Google Calendar for the desired date and time (e.g., Tuesday, December 13th from 12:30 PM to 1:00 PM).

    • The blocked time will be reflected in your Calendly calendar as well and will not be available for booking.

Additional Notes:

  • The legend on your calendar will show you what the different colors represent. In this case, a blocked time slot will have a specific color.

  • Recurring events and events marked as unavailable in the Calendly app won't show up in widgets or sync back to Google or Outlook.

No matter which method you choose, blocking off time will ensure you have dedicated periods for appointments or personal needs.
